Tracker Item Templates

From codebeamer 22.04 (Felicity), users have the option to create Tracker Item Templates based on already existing Tracker Items. This way, specific field values of a given Tracker Item can be saved as a template for extended reuseability when creating new items. All configured tracker types support the creation of item templates, except Document and Test Run type Trackers.

Tracker Item Templates are stored with the Tracker they are created (e.g. item templates based on Task items are stored in the Tasks tracker).

Tracker Item Templates are not exported to the .zip file during project export/deployment.

Creating Tracker Item Templates

Users with Public View and Item Template permission are able to create public item templates, these are available for other users, but are only editable for users with the permission. Users without this permission can only create private item templates, which are only available for, and editable by the owners. Creating Tracker Item Templates is available at:

  • an item details page
  • an item's context menu in Table View, and
  • an item's context menu in Document View,
  • right clicking an item on the left tree (Document View, Document Edit View).

When creating a new Tracker Item Template, the selected item's field values are saved as default for new items created based on the template.

Only those field values are saved to a template, where the user has write permission.
Reminders, Tags, Associations, Downstream References, Attachments/Comments, Spent Effort, Status values are not copied from the template.

How to create a Tracker Item Template

To create a new Tracker Item Template follow these steps:

  1. Choose an Item for the basis of the new template.
  2. Navigate to either of the places mentioned above.
  3. In the item's context menu choose Save as Item Template option.
  4. Filling the Name field is mandatory, users can also provide an optional Description of the Item Template. Creating public Item Templates are only available for users with Public View and Item Template permission.
  5. In case, users wish to overwrite an existing Item Template, it can be done on the Overwrite Existing tab, by selecting the template to be overwritten from the dropdown menu.
  6. To save the Item Template click [Submit].

Creating Work Items based on an Item Template

To create a new Work Item from an Item Template click the button, and select the template to use from the dropdown menu:

Private and Public Templates are listed separately in alphabetical order.

This actionbar icon is available on the following pages:

  • Document View
  • Document Edit View
  • Table View
  • Tracker Cardboard
  • Release Cardboard
  • Work Item Details

On a Document View or Document Edit View page it’s also possible to create an Item Template based child item using the tree view’s context menu (right clicking an item):

During the creation of a new item using an Item Template, if field values no longer exist or are no longer valid (e.g. due to tracker configuration change), the user is warned about this fact, while the creation of the new item is completed with still valid and existing values.

Reminders, Tags, Associations, Downstream References, Attachments/Comments, Spent Effort, Status values are not copied from the template.

Managing Item Templates

Existing Item Templates users have write access to can be updated or deleted. The Manage Item Templates dialog is available from the overflow menu (CB:/displayDocument/more-button.png?doc_id=20760532&version=1&history=false&notification=false button), on Document View, Document Edit View and Table Views:

Only the Name, Description and Public attributes are updatable. The field values stored in the Item Template cannot be modified.

Limitations

Current limitations of the feature:

  • Each Item Template belongs to the single Tracker it was created in and cannot be used in another one.
  • The maximum number of Item Templates in a Tracker is limited to 1000 (including private and public templates, independent of the owner).
  • The following attributes are not stored in Item Templates:
    • Status
    • Comments and attachments
    • Spent time
    • Tags
    • Reminders
    • Associations
    • Downstream references
  • Item Templates are not transferred in project or project deployment .zip export.
  • Item Templates are not inherited with Tracker inheritance.
  • Item Templates are and not copied to Working Set variants.
