How to reuse and update a set of work items

This document provides a step-by-step guide through the tasks required to reuse, and later update a set of work items that are referenced together (Component) in various trackers.

In the reused Component, work items are referenced together as they were in the original workspace. To reuse one or more Components simultaneously, use the Advanced Smart Copy in codebeamer X.

To update original or copied work items, use the merge option (triggered by Suspected links).

Prerequisites

Familiarity with the basics of the usage of Suspected links to merge items. See Requirements Library

Start Advanced Smart Copy setup

Open the Advanced Smart Copy window

  1. Open the Tracker tree
  2. Click on the [Smart Copy] icon in the left panel.

Setup one Smart Copy

The window can be configured to reuse from different workspaces and trackers simultaneously in one operation.

This guide:

  • shows first how to set up one reuse from one workspace,
  • explains how to extend it with additional trackers and workspaces.

Select the source workspace and its baseline

Select a source workspace from the Source workspace field:


Based on the selected workspace, select the required Baseline:


Select the initial source tracker

After the Workspace and the Baseline are selected, add the initial Tracker layer for the reuse, from where the references will be derived.

Work with tracker baseline instead of workspace baseline

In case of working with tracker baselines instead of workspace baselines, select the Source workspace, then the choose the Tracker specific option in the Baseline field.

Now the required tracker baseline can be chosen from the activated Baseline field.

Map the source tracker to a target tracker

Select the Target tracker for the configured source tracker.

Map the fields between the two trackers

The Field mapping window automatically pops up after the target and source trackers are coupled. In case there is a field name mismatch, connect fields from the source tracker to the corresponding field in the target tracker.

In case the source trackers field names are available in the target tracker as well, they are mapped automatically, and the pop-up does not show up.

Fields that cannot be matched will be lost. The computed fields cannot be mapped in the target tracker.




Change the initial field mapping

Click on the next to the Target tracker field in order to change the original field mapping. This can be done at any stage of the process.


Collect the required work items

Create own filters

  • Use the Filter field to apply a filter for the work items in the source tracker.
  • In case a use-case specific filter is needed, choose New from the drop-down list.
  • Use the All option in the filter to see all work items in the tracker.



Create and [SAVE] the custom filter put together on the Filter for items in System Requirements pop-up.


Select items from the filtered list

Collect the work items from the list which are needed for the copy.


Build up the tracker structure based on references

  • Use the Select References field to add additional layers that are connected to the certain tracker.
  • The list is dynamically changing as trackers are added or removed.
  • New trackers can be added only via references in order to guarantee the traceability between the work items in different trackers.
  • Multiple values can be selected.



The referenced trackers will be hierarchically ordered under the tracker where they were added.


Change the default configuration options

Click on the (gear) icon on the right side of each target tracker field to change the following default settings:

Preserve hierarchy of the copied items

In case the Preserve hierarchy checkbox is applied, the parent work items of the original selection will be reused as well.

Deselect the checkbox if keeping the hierarchy is not needed.


Set the required association type between the source and target work items

Select a proper association type if the default copy type does not cover the use-case.


Predefined settings of the Advanced Smart Copy

Reused work items are placed at the end of the target tracker.

Extension of the copy operation

Additional source workspace and additional initial tracker can be added in one configuration and executed in one Smart Copy operation.

Click on the [Add tracker to Copy] button to extend the reuse with an additional tracker from an already selected workspace.

Click on the [Select new workspace to copy] button to extend the reuse with an additional workspace as a source.

Save and Load configuration files

  • Click on the [Save configuration] button to save the current reuse configuration on your local machine during the setup of the Smart Copy window.
  • Click on the [Load configuration] button to load a previously saved reuse configuration.
  • The configuration is stored in a .json file.


Review the reused work items

Compare the result of the Smart Copy operation with the expected number of work items copied into different target trackers, to make sure that the reuse went successfully.
