How to Guide for Library-Based Smart Copy

How to reuse and update a set of work items using the Library

This document provides a step-by-step guide through the tasks required to reuse and later update a set of work items that are referenced together (Component) in various trackers. In the reused Component, work items are referenced together as they were in the original workspace.

To reuse a Component, use the extended Library function in codebeamer X. To update original or copied work items, use the merge option (triggered by Suspected links).

Prerequisites

Familiarity with the basics of the Library and the usage of Suspected links to merge items. See Requirements Library.

Define Source and Target workspaces

Select the target

To set the target tracker, open the workspace and the tracker which will be the target for the copy of the relevant items.


Open the Library

  1. Switch to Document view
  2. Click on the [Library] icon.

Switch to the Smart Copy tab

Click on the Smart Copy tab.


Select the source

Click on the [Source] button to open the dialog for source selection.


Select the required Workspace, Baseline and Tracker. You can select multiple sources by checking the related checkboxes.

One baseline can be selected from each workspace.
  • The selected sources will be available in the right panel.
  • This collection of sources is a user level setting and available in each workspace.
  • Items that appear in the right side panel can be reused.

Select the required work items

Navigate to one Source tracker in the right panel.

Copying from multiple trackers at the same time is not allowed.

Select items from the list

Collect the work items from the list that needed for the copy.


Smart Copy process

Drag and drop the selected work items into the target tracker

Drag and drop the selected work items to the left into the navigation panel to copy them. The location for the new items can be selected among the original ones.


Configure tracker structure to copy references

  • After the drag and drop, add the additionally required trackers.
  • Use the Reference field to add additional layers that are connected to the certain tracker.
  • The list is dynamically changing when adding or removing trackers.
  • New trackers can only be added via references in order to guarantee traceability between the work items in different trackers.



Map the referenced tracker to a target tracker

Select the Target tracker of the added referenced tracker.

Field mapping of source and target

  • In case there is a field name mismatch, connect fields from source tracker to the corresponding field in the target tracker.
  • In case the field names of the source tracker are available in the target tracker as well, they are mapped automatically.
Fields that cannot be matched will be lost. The computed fields cannot be mapped in the target tracker.


Review the reused work items

Compare the result of the Smart Copy operation with the expected number of work items copied into different target trackers, to make sure that the reuse went successfully.


Predefined settings and limitation of the Library based Smart Copy

  • Copy operation preserves the work items hierarchy.
  • Reused work items placed in the end of the target tracker.
  • Copy operation creates bi-directional copy association between the source and target work items.
  • The list of referenced work items cannot be filtered or extended.
  • Tracker baseline is always the HEAD.
  • One tracker from one workspace can be used as main tracker for the copy.
  • Copy operation configuration cannot be saved.
  • Reuse configuration files cannot be saved and loaded.

Switch to Advanced Smart Copy

Click on the [Switch to Advanced Smart Copy] button in the left bottom of the pop-up, to switch to the Advanced Smart Copy window, in order to be able to set every value predefined in the Library based Smart Copy.
